Club Volunteer Service Overview

The success of a Swim Club is dependent on active parent involvement and participation. Each family with a swimmer in the competitive program will be required to earn points in order to ensure that the effort to operate the club and its swim meets/fundraising/swimmer events is shared in an equitable manner.

Volunteer requirements and credit values are listed in the tables below. Volunteer requirements not fulfilled by the end of the season are charged to the swim account of the member with the following calculation (points remaining x 3 x Ontario minimum wage per hour on July 30, 2024).

*Points x 3 x Minumum wage. Family will pay the current minimum wage x3 for each missing point. For example, if a family did 4 points out of 8, they can buy-out 4 points hours by paying 4x3 x minimum wage/hr.

 

 

Swim Meets – The Peterborough Swim Club typically hosts 2 or more time trials or swim meets per year (currently at the Lindsay Recreation Centre pool).

  • Swim meets are run completely by club volunteers BUT are critical to the operation of the Club as they provide our swimmers opportunities to compete AND earn the Club money through competition fees charged to swimmers/race or /meet.
  • All families (parents or swimmers 14 and over) are EXPECTED to work a minimum number of the sessions at every hosted meet.
  • Jobs vary from meet preparation, set up/tear down, officiating, food/concession coordination, concession staffing and food preparation depending on nature of meet and venue at which the meet is being held (note: currently we do not have the opportunity to provide food at our home hosted meets).
  • Volunteering as an official at a team hosted or away meets (hosted by other clubs) is a great way to fulfill your volunteer requirements, and a great way to be closer to the action and see your swimmer compete!

 

How to earn / fulfill your volunteer hr requirements*

Food Volunteer at Meet Work one session at a team hosted meet to supervise food supply and clean-up. Simple provision/donation of food does not equal to service. 1 point
Swim-a-thon Coordinator Organize and coordinate this fundraising activity 3 points
Attendance at AGM Family rep attendance at the yearly AGM 0.33 point
Fundraising Coordinator Coordinate a specific fundraising activity supervised by the Fundraising Chair 2 points
Bingo Coordinator Non-Board position, organize and coordinate this fundraising activity throughout the swim season 6 points
Officials Chair Non-Board position, recruit, organize training of and coordination of officials 6 points
Regular Board Member Active regular member of the PTBO SC Board of Directors. Attend at least 80% of the meetings and fill specific duties. 8 points
Membership Chair Participate as regular Board member and coordinate Membership operations 11 points
Fundraising Chair Participate as regular Board member and coordinate Fundraising activities throughout year 10 points
Communications Chair Participate as regular Board member and coordinate Communications activities throughout year 10 points
Team Manager Participate as regular Board member and manage/coordinate Team events/activities throughout year 12 points
Team Treasurer Participate as regular Board member and fill roles of Treasurer 12 points
Meet Manager Participate as regular Board member and runs and organizes the club’s hosted meets 12 points
Club Vice President Fill responsibilities as Board Vice President throughout year 12 points
Club President Fill responsibilities as Board President throughout year 14 points
Head Chaperone Lead chaperone at away team meets/events - organizes the food requirements, room coordination, and supervises/recruits chaperones 1 point/3hrs
TPASC Bus Chaperone Accompany swimmers on bus to TPASC for training 2 points/trip

Officials Incentives Program

Families are encouraged to spend some time learning more about the officiating process by visiting the Swim Ontario website. There is no better place to be than on deck at a competitive swim meet!

Parents/Families attaining the following Officiating Levels will receive the following:

  • Level 2 Official – each qualifying parent receives an Officials Red Shirt and a name tag
  • Level 3 Official – each qualifying parent receives a 10% credit (per swimmer) off swim fees
  • Level 4 and 5 Official – each qualifying parent receives a 15% credit (per swimmer) off swim fees
  • Officials must work a minimum of 6 sessions at their officiating “level” to receive the swim fee credit. Sessions may be worked at home or away meets
